Pipeline → Close: Find or Create Leads

Problem It Solves

Sales teams using Pipeline often juggle incoming requests (“asks”) in one tool and then have to manually recreate or update those contacts in Close.io. This manual handoff leads to duplicate records, inconsistent data, and forgotten follow-ups. By automating the lead lookup/creation step, you ensure every incoming ask is captured in Close.io immediately, reducing wasted hours, improving data accuracy, and preventing lost opportunities.

Process Overview

  1. A new ask is submitted in the Pipeline (via form or internal entry).

  2. Zapier triggers on that new ask and searches Close.io for an existing lead matching the email or company.

  3. If a match is found, Zapier updates the existing Close.io lead with any new information.

  4. If no match exists, Zapier creates a brand-new lead in Close.io using the ask’s details (name, email, company, etc.).

  5. Optionally, Zapier sends a Slack or email alert confirming “Lead Found” or “Lead Created.”

Key Features & Capabilities

  • Automated Lead Lookup
Zapier first searches Close.io to avoid duplicate records.

  • Seamless Lead Creation
If no match is found, Zapier creates a new Close.io lead with all the ask details.

  • Field Mapping & Enrichment
Map Pipeline fields (Name, Email, Company, Phone) directly into Close.io’s lead fields.

  • Error Alerts
If any required field is missing, Zapier notifies you via Slack or email for manual intervention.

  • Optional Follow-Up Notification
Trigger a notification to your sales team whenever a new lead is created or updated.

Typical Use Cases & Example Scenarios

  • Small SaaS Vendor
Every time their website “Request Demo” form (connected to Pipeline) is submitted, this Zap ensures the lead lands in Close.io—so SDRs never manually copy-paste data and can follow up within minutes.

  • Consulting Firm
Consultants log new prospects as “asks” in the Pipeline after networking events. Zapier finds any existing contact in Close.io or creates a fresh record, with notes attached, so relationship history stays consolidated.

Prerequisites & Client Responsibilities

  • Pipeline Account
Ensure you have access to your Pipeline workspace and can create or modify triggers on “asks.”

  • Close.io API Credentials
Provide a Close.io API key with permission to “read” and “create” leads.

  • Field Definitions
Confirm which Pipeline ask fields (e.g., Name, Email, Company, Phone) should map to Close.io lead fields.

  • Team Permissions
Identify who needs View or Edit access to review Zap run logs or adjust field mappings.
